Challenge

The rival companies are analized by the cash price and installment price comparing on the products . After that, they prapare a report which is determined by tourism categories. It takes 4-5 hours to complete the report by a human for each day. This analyze has to be done every 3 days in a week. That process approximately equals to 60 hours, monthly. 

Solution

The product price informations was obtained  from rivals websites via UiPath robots. The reports are sent to the department via mail, after obtaining from Rivals’ websites.

Results

  • All processes are %100 automated with Uipath RPA technology.

  • Workload decreases to 30-45 minutes from 4-5 hours.

  • Process work hour also decreases to 9 hours from 60 hours and done by daily.

Reservation Cancellations

Challenge

Accounting department was controlling and approving the cancellation of reservation. That process has to be done every certain hours of a day. According to cancellation quantity in a day, work force is changing. In this department, a person always does this cancellation process control and doing accounting process.

Solution

UiPath robots have been automatically started to cancel reservations, which are specified, and controlled the areas that business unit can or can not control. After the controlling the whole data of reservation, robots finish the process and send the result report to related department.

Comparing Credit Card Transactions with Accounting Software

Challenge

Credit Cards transactions data is collected from 7 contracted banks’ websites. After that, the data comparing with accounting software data. Result of the comparison, mismatched transactions are determined by employees, and after that related process is triggered. The accounting department spends a day weekly.

Solution

The comparison process has started automatically. If there are duplicates, missing or excess amounts of transactions, these are detected by UiPath robots and reported via mail to related department.

Challenge

Finance and Reporting Department compare accounting records with the data which are sent by all departments in company. Employees gets the data and convert into a specific file and data format. After that, they prepare Risk & Budget Report according to International Standards of Finance. This takes 7-8 hours weekly and done by 3 employees. 

Solution

The files related to the risk report started to be automatically taken from the accounting application. These files are combined with the data which are updated by the business unit manually. After that, risk report has completed at specific format which is need to be.The comparison process has started automatically. If there are duplicates, missing or excess amounts of transactions, these are detected by UiPath robots and reported via mail to related department.

Challenge

A Risk & Budget Control Report file is prepared for the control of budget data in the Risk & Budget Report file. This file is fed from the Risk & Budget Report file. The process is completed by the business unit in 1-2 hours depending on their availability.

The risk Control file is done by feeding the budget controls Risk Report via UiPath robotic automation.

Invoices’ Data in Excel Format

Challenge

The company has many partner hotels in their tourism group. These hotels send their invoices via mail. Acoounting department gets the mail from their mailbox and search excels’ data for accounting. After separating necessary content from data in excels, employees enter the data to their accounting app. This job is done everyday at different time intervals. Following and doing this process manually is too difficult and employees could do so many mistakes while entering data. On the other hand, they also must control their mailbox frequently in work hours.

Solution

All steps which are done by employees, are transferred to robots with same process flow.

E-Invoices Closing Process

Challenge

The partner hotels sends 270 separate formats of invoices. The accounting department obtained the invoices from accounting software in XML format. After that accounting deparment use another software to matching invoices and start invoice closing process. The work process is done manually by 2 people from the project owner team.

Solution

UiPath Robot automate the invoice closing process over accounting software within the determined rules for each different invoice. Following the transfer of the process to the robot, additional time has provided to those who continued the work manually, which they would use efficiently.
